Privacy Policy
This Privacy Policy explains how MANO, operated by Emmanuel Onuoha trading as Mano.ai, collects, uses, and protects your data. We are the data controller under UK GDPR for account and platform data.
1. What We Collect
- Account data: name, email address, organisation, plan, referral code
- Deal and pipeline data you enter into the platform
- Calendar booking details (customer name, phone, appointment time)
- Smart Send interaction events and link-click data
- Connect messages between users within an organisation
- Feedback submissions and file attachments
- Analytics events: feature usage, active sessions, navigation patterns
- Browser preferences stored locally on your device
2. How We Use It
To operate and improve MANO; authenticate your account; power AI features; deliver Smart Send and booking pages; generate usage analytics; process referrals and payments; send notifications; send product updates, offers, and marketing emails where permitted by law; and comply with legal obligations.
We may send occasional email marketing and product updates about MANO features, plan changes, offers, and account-manager productivity tips. You can unsubscribe from marketing emails at any time. We will still send essential service, security, billing, and account emails where needed to operate the platform.
3. Lawful Basis (UK GDPR)
Contract performance; legitimate interests (security, analytics, fraud prevention, product improvement); consent (where you enable optional features); and legal obligation.
4. Customer Data You Enter
Where you input your customers' personal data into MANO, you are the data controller for that data and Mano.ai is a data processor on your behalf. You are responsible for ensuring you have a lawful basis under UK GDPR to process that data through our platform.
5. Third-Party Processors
- Supabase — database, authentication, file storage
- OpenRouter / DeepSeek — AI assistant processing
- Stripe — subscription payment processing
- Cloudflare — infrastructure and DNS
- DVLA MOT API — vehicle MOT lookups
- FCA Register API — firm authorisation lookups
- Formspree — email notification delivery
Each processor has its own privacy policy and data processing terms.
6. Payments
Subscription payments are processed by Stripe. We do not store your card details; Stripe handles payment data in line with its own privacy and PCI compliance standards. We remain responsible for our own VAT and tax obligations.
7. Data Sharing
We do not sell personal data. Data is only shared with the processors listed above or where required by law. Business administrators may view data for users within their organisation.
8. Your Rights (UK GDPR)
You have the right to access, correct, delete, restrict, or port your data, and to object to processing based on legitimate interests. Contact manoaisolutions@gmail.com. You may also complain to the Information Commissioner's Office at ico.org.uk.
9. Security & Retention
We use HTTPS, password hashing, and row-level database security. Data is retained while your account is active and for a reasonable period afterwards. You can request deletion at any time.
10. International Transfers
Some processors may process data outside the UK. Where this occurs, appropriate transfer safeguards apply in accordance with UK GDPR requirements.
11. Children
MANO is not intended for users under 18 and we do not knowingly collect data from minors.
12. Changes
We may update this policy periodically. Continued use of MANO after changes constitutes acceptance of the updated policy.
